Wollopit for wineries

Wineries: we build the systems behind the cellar door. Less admin, more pouring.

Club allocations in a spreadsheet, tastings booked in three different places and an online shop that can't do a mixed dozen. We build websites, wine club systems and integrations that fit how your winery actually runs, then we host them and look after them.

Looking for wine club software or a cellar door booking system?

Most winery software is built for the average winery. Yours isn't average. Maybe your club has three tiers and a waitlist, your cellar door runs seated tastings on weekends and walk-ins midweek. Maybe half your sales go to restaurants and bottle shops. Off-the-shelf tools make you bend your business to fit them, then charge you per member, per booking and per transaction for the privilege.

Wollopit builds custom wine club software, cellar door booking systems, winery websites and online stores around how you actually work. We connect the bits you already use, replace the bits that are holding you back and look after the lot on our own servers, so you can get back to making wine.

01The problems

What we hear from wineries

Does your winery have these problems? Here's how we'd fix them.

Most wineries we talk to are running a premium product on a patchwork of spreadsheets, plugins and good intentions. It works, right up until release week.

  • The problemClub releases run off a spreadsheetAllocations, card charges and pick lists done by hand, twice a year, with your fingers crossed.
How we fix itSet the release once and the system works out allocations, charges cards and builds the pick lists for you.
  • The problemFailed payments chased one by oneExpired cards and declined charges turn into a week of phone calls and awkward emails.
How we fix itDeclined cards retry automatically, members get a friendly link to update their details and you only see the ones that really need a call.
  • The problemBookings arrive from everywherePhone, email, Facebook and a booking widget nobody updates. Saturday ends up double booked.
How we fix itOne booking system for tastings, tours and long lunches, live on your website and Google, with deposits and reminders built in.
  • The problemA shop that doesn't get wineNo mixed dozens, no member pricing, no case discounts and freight that's wrong for half the country.
How we fix itA store built for wine: mixed dozens, member and case pricing, club-only releases and freight worked out by postcode.
  • The problemStock that never matchesThe website says 40 left. The cellar door sold the last case on Saturday.
How we fix itCellar door, website and warehouse share one stock count, so you never sell what's already gone.
  • The problemAge and delivery rulesProof of age, authority to leave, restricted postcodes and couriers who need the right paperwork.
How we fix itAge confirmation at checkout, delivery notes your courier understands and restricted postcodes handled automatically.
  • The problemEvents living in someone's inboxWeddings, long lunches and functions juggled across diaries, emails and a whiteboard in the office.
How we fix itEnquiries become quotes, deposits and run sheets in one place, with a venue calendar everyone can see.
  • The problemTrade orders by text messageRestaurants and bottle shops ordering through texts and spreadsheets, then someone retypes it all into Xero.
How we fix itA trade portal where venues reorder in two taps at their own pricing, with invoices going straight into Xero or MYOB.
02What we build

Solutions

What we build for wineries. Usually all talking to each other.

Pick the one that's hurting most or join the whole lot up. Everything is built around how your team works, not the other way round.

01

Wine club & allocation systems

Membership tiers, custom allocations, member choice windows, automatic card charging, failed-payment retries and pick lists ready for the shed.

02

An online store that understands wine

Mixed dozens, case and club pricing, member-only releases, freight by postcode and age checks at checkout and on delivery.

03

Cellar door & tasting bookings

Sessions, group sizes, deposits, add-ons like cheese boards, SMS reminders and one calendar the whole team can see.

04

Events, weddings & functions

Enquiry to quote to deposit to run sheet, with venue calendars that stop two brides booking the same lawn.

05

Stock that matches everywhere

Cellar door POS, website and warehouse kept in sync, with vintages tracked and low-stock alerts before you run dry.

06

Trade & wholesale portal

Accounts for restaurants and bottle shops, trade pricing, reorders in two taps and invoices straight into Xero or MYOB.

07

Releases & member comms

Release announcements, tasting-note pages and QR codes on tasting mats and bottles that link to notes and reorders.

08

Vineyard & harvest tools

Block records, spray diaries, harvest logs and tank or barrel tracking on a phone in the paddock, even with patchy reception.

09

A website that sells the story

Hand-built, quick on country mobile reception, easy for staff to update and built to rank for your region and 'cellar door near me'.

03How it changes

Before and after

A club release, wolloped.

Here's how a typical release day could change. Every winery is different, so we map yours first.

Before

  1. Export the member list and sort allocations in Excel
  2. Charge cards one at a time and note the declines
  3. Email invoices and chase the failures for a week
  4. Print pick lists and hand-write courier labels
  5. Answer 'where's my wine?' calls for a fortnight

After

  1. Set the release once: wines, tiers and dates
  2. Members get a choice window to swap or add bottles
  3. Cards charge automatically and failures retry and notify
  4. Pick lists and courier labels print in the shed
  5. Tracking emails go out on their own

05How we work

The process

Some people dip their toe in. We turn up in a rebreather.

We get properly below the surface of your winery: the systems, the busy days and the jobs everyone hates. Then we fix the bits that matter most first.

  1. 01

    Think

We sit with the people at the cellar door, in the office and in the shed, then work out what's actually slowing you down.

  2. 02

    Archi-tech

We plan it before writing code: your data, members, stock, payments, freight, hosting and cost.

  3. 03

    Build

Real engineering, shown to you early and often. Usually the most painful bit first, so you get a win before vintage.

  4. 04

    Look after

We host it, maintain it and keep improving it. When something breaks you call the people who built it.

06Questions

FAQ

Things wineries ask us.

Something else on your mind? Ring 0423 011 252 and ask the people who'd build it.

We already use a wine platform. Do we have to switch?

No. If Commerce7, WineDirect, Vinsight or Shopify is doing its job, we build around it: the missing features, the integrations and the website on top. If it's holding you back, we'll show you what replacing it would involve before anything changes.

How much does a winery system cost?

It depends on what you need, so we quote up front once we understand it. No surprise invoices, no lock-in and you own what we build.

Can you work with our existing website?

Usually, yes. We can add a wine club, bookings or a trade portal to what you've got. If it's slowing you down we can rebuild it. We'll tell you honestly which makes more sense.

How long does it take?

Smaller jobs like a booking system or a stock sync can be quick. Bigger systems are planned in stages so you get the first win early instead of waiting for everything at once.

Do you only work with wineries in one region?

No. We work with wineries anywhere in Australia. Most of the work happens on calls and screen shares. We'll happily come and see the cellar door too.

Who looks after it once it's built?

We do. We host it on our own managed servers and keep it updated and secure. When you need something you ring the people who built it.
